Clear expectations protect everyone. These terms explain how Cool Guyz quotes, fabricates, installs, supports, and stands behind custom portable A/C window panels and related services.

1. Scope and acceptance

These Warranty, Terms & Conditions apply to quotations, measurements, design work, fabrication, pickup, delivery, installation, repair, and upgrade services supplied by Cool Guyz. By approving a quote, paying a deposit or invoice, authorizing fabrication, accepting delivery, or permitting installation, the customer accepts these terms together with the applicable written quote and invoice.

If a written Cool Guyz quote or invoice conflicts with this page, the more specific written term on the quote or invoice governs for that project.

2. Insurance and safe work

Cool Guyz maintains commercial liability insurance and WorkSafeBC coverage. We take reasonable precautions while working in homes, strata properties, rental units, and commercial spaces. Customers must disclose known hazards, provide safe access to the work area, secure pets, and obtain any landlord, strata, building-management, or other approvals required for the installation.

3. Quotes, measurements, and custom orders

3.1 Quotes and pricing

Quotes are based on the information, photographs, measurements, access conditions, materials, finish, hose adapters, and installation requirements known when the quote is prepared. Unless a quote states otherwise, pricing may be revised if site conditions, dimensions, equipment, access, or customer selections change.

3.2 Customer-supplied measurements

For DIY, pickup, shipped, or remotely quoted projects, the customer is responsible for the accuracy and completeness of all supplied measurements, templates, photos, equipment details, and adapter dimensions. Remaking a panel because of inaccurate or incomplete customer information is chargeable.

3.3 Approval to fabricate

Fabrication may begin after the customer approves the quote, design, dimensions, or material selection and completes any required payment or deposit. Changes requested after fabrication begins may require a revised price and schedule.

3.4 Custom work and final sale

Because panels are cut for a particular opening and application, deposits and completed custom-fabricated products are generally non-refundable once fabrication has started, except where Cool Guyz agrees otherwise in writing or where required by law.

4. Scheduling, access, and delays

Appointment windows and completion dates are estimates. Weather, traffic, material availability, equipment issues, building access, unsafe conditions, inaccurate information, and events outside our reasonable control may affect timing. If Cool Guyz cannot safely or reasonably complete the work because access or site conditions differ from what was disclosed, a return visit or revised scope may be chargeable.

5. Installation, inspection, and acceptance

Customers should inspect the panel, finish, adapter opening, and installation before the technician leaves or promptly upon pickup or delivery. Please raise visible concerns immediately so we can assess and, where reasonable, correct them. Use, modification, removal, or acceptance without reporting an obvious issue may be treated as acceptance of the visible condition and fit.

Acrylic is durable when installed and handled correctly but may crack, scratch, chip, or distort if dropped, bent, struck, overtightened, stored improperly, pulled by the hose or adapter, or exposed to unsuitable heat.

6. Limited warranty and support

Payment-in-full eligibility requirement. To qualify for or receive warranty service, a refund remedy, or any money-back guarantee expressly offered by Cool Guyz in writing, every invoice relating to the project must first be paid in full and the payment must have cleared. Payment in full is a prerequisite for eligibility; it does not by itself confirm that a claim is covered, and all other warranty, guarantee, inspection, notice, care, and exclusion terms continue to apply.

Written warranty controls. Any warranty period or remedy expressly stated on the Cool Guyz quote or invoice forms the warranty for that project. No salesperson, installer, website statement, or informal message expands that warranty unless Cool Guyz confirms the change in writing.

Cool Guyz warrants that, at the time of delivery or installation, our custom-fabricated work will materially correspond with the approved project specifications and that installation services will be performed with reasonable care and skill. A customer who believes there is a fabrication or workmanship issue must notify Cool Guyz promptly, provide reasonable supporting photos or information, stop any use that could cause further damage, and allow Cool Guyz a reasonable opportunity to inspect the work.

Where Cool Guyz confirms a covered fabrication or workmanship issue, the remedy will be determined reasonably based on the circumstances and may include adjustment, repair, replacement of the affected Cool Guyz component, or another remedy required by applicable law. Unless agreed in writing, this warranty does not cover the portable air conditioner, hoses, adapters supplied by others, the building, window hardware, screens, blinds, or other third-party products.

7. Warranty exclusions

To the extent permitted by law, warranty coverage does not include:

  • damage caused by impact, dropping, bending, scratching, pulling on hoses or adapters, improper storage, cleaning with unsuitable products, misuse, neglect, pests, or unauthorized alterations;
  • changes to the window, door, opening, portable A/C unit, hose, nozzle, adapter, furniture layout, or building after measurement or installation;
  • customer-supplied measurement, template, equipment, or compatibility errors;
  • restricted exhaust airflow, operating the A/C against a closed or insufficiently open window, clogged filters, damaged or leaking hoses, or use contrary to the A/C manufacturer’s instructions;
  • adhesive, hook-and-loop, seal, or material performance affected by direct sunlight, unusually hot frames, heat accumulation, excessive exhaust temperature, moisture, condensation, smoke, chemicals, or other environmental conditions outside Cool Guyz’s control;
  • cosmetic variation, minor machining marks, normal wear, or movement within reasonable fabrication tolerances that does not materially impair the intended function;
  • work performed, parts supplied, or modifications made by someone other than Cool Guyz.

8. Portable A/C operation and customer responsibility

The customer is responsible for operating and maintaining the portable air conditioner in accordance with its manufacturer’s instructions. The exhaust opening must remain sufficiently open and unobstructed whenever the unit operates. Hoses and adapters must be in serviceable condition and supported so they do not place damaging force on the acrylic panel. Cool Guyz does not manufacture or warrant the A/C unit and does not guarantee a particular room temperature, energy saving, noise reduction, indoor-air result, or equipment performance.

9. Payment, cancellations, and additional work

Payment is due as stated on the quote or invoice. Promotions and discounts apply only during their stated period and are not retroactive. Customer-requested changes, return visits, troubleshooting unrelated to Cool Guyz workmanship, parking or access costs, or work outside the approved scope may be billed separately. Cancellation after materials are ordered or fabrication begins may result in charges for work completed, committed materials, and other reasonable costs.

10. Limitation of liability

Nothing in these terms excludes liability or remedies that cannot legally be excluded. To the maximum extent permitted by law, Cool Guyz is not responsible for indirect, incidental, special, or consequential loss, including loss of use, lost income, loss of enjoyment, or damage arising from misuse, third-party equipment, undisclosed conditions, customer modifications, or failure to follow operating and care instructions.

Where liability may legally be limited, Cool Guyz’s aggregate liability relating to a project will not exceed the amount paid to Cool Guyz for the specific product or service giving rise to the claim. The customer is responsible for taking reasonable steps to prevent or reduce further loss after discovering a concern.

11. Photos and privacy

Cool Guyz may request permission to photograph completed installations for quality records, training, or marketing. We will avoid displaying personal information or identifying details and will honour a customer’s request not to use installation photos publicly. Personal information is handled in accordance with our posted privacy practices and applicable law.

12. Website content and intellectual property

Cool Guyz’s website copy, photographs, graphics, designs, measurement methods, templates, and branded materials are protected by applicable intellectual-property laws. They may not be copied or commercially reused without written permission. Website information is general and may be updated without notice.

13. Governing law and severability

These terms are governed by the laws of British Columbia and the applicable laws of Canada. If any provision is found unenforceable, the remaining provisions continue in effect. Failure to enforce a provision once does not waive the right to enforce it later.

14. Changes to these terms

Cool Guyz may update these terms from time to time. The version in effect when a quote is accepted generally applies to that project, except where a later change is required by law or agreed in writing.
